The month closed — what the order made
2:26 · Captions: English, Arabic, French and Chinese.
Back to where this course began: an order book, a drawer of cash, a shelf nobody counts, an owner who hears it all by phone, and numbers that only arrive when VAT is due. When the shop's books keep up all month, closing it takes minutes.
What you'll learn
- See a customer's transfer find its invoice
- Count the shelf, sign the count off and lock last month
- Read the shop's results, and what one order made
Step by step
- Paid by transfer — Mr Mehta's transfer has arrived on the bank statement, and it has found his invoice by itself. Nobody had to chase it.
- The order closed — Nothing is left to pay, so Zuhair closes the order. Everything stays on it: the measurements, the fabric, the invoices.
- The shelf counted — Once a month, Zuhair counts the fabric shelf and types in what he finds: a little silk short. He saves the count. The books don't change until Sanjay has looked at the difference.
- Signed off — Sanjay reviews the difference and posts it. The stock in the books matches the shelf again. And the merchant's bill Zuhair filed with the rolls: once the shop paid it, it found his check-in by itself, at the order's prices.
- The books — Then last month's books. Sanjay runs the payroll and keeps the books himself; a shop this size rarely has an accountant of its own. The shop could also hand both to an accounting partner such as Daoile, whose bookkeepers work the same way, with their own logins.
- Last month locked — Every bank line is explained, so he locks the month. Its numbers are final, and the VAT return is ready whenever it's due.
- The shop's month — And here's the payoff. Without setting foot in the shop, Sanjay sees what it sold this month, the orders and the rail, what the fabric cost, and what's left. Every month, not at VAT time.
- What the order made — And for each order, what was agreed against the fabric it used. That's the question the order book could never answer.
That's the whole shop on one system: every order in one place, the measurements on the order, the deposit in the books, his own fabric kept apart, the shelf counted, the rail in the books, the payroll in one run, the owner seeing it all from anywhere, and the month closed while it still matters.
